How to Force a Copy when Sharing a Google Doc

Did you know you can force a fellow user of Gmail / Google Apps to make a copy when sharing a Google Doc? You can do this by adding a short amount of text to your document’s unique URL.

1.) Click the blue Share button at the top right corner of your Google Doc’s screen.

2.) Copy the URL within the window that appears.

3.) Paste this URL in an email to whomever you want to share it with.

4.) Add “&newcopy=true” to the end of the URL (remove the ” “)

  1. Not working for me. I keep getting a message saying the “file doesn’t exist.” Any suggestions?

      If you’re getting that message, it’s likely that you are trying to force a copy of a Presentation or Spreadsheet. Unfortunately it appears this trick only works for Docs. Hopefully this will be something that Google will change in the near future.

  2. I have one of two things when I do this with both my GAFE and normal Google accounts, both with documents. Either I get a message saying that the file is private and to request access, or if I make it shared then it simply opens the doc without doing the force copy piece. I did notice that the pop up you get when you go to send the email does not occur for me in my GAFE account, but it does in my normal account and the same thing happens; if I share the doc, you can go right to it without copying, and if you don’t share it you are prompted to request permission.

  3. If the recipient makes a copy and adds to it and shares that with me, what do I see?

      Unless the recipient changes the title of the Doc, you will see “Copy of [name of original Doc]” with whatever changes they made.

  4. I tried every which way possible and it doesn’t work for me either. I keep getting the file does not exist or when I share, it just opens the shared document. I am using the GAFE account.

      What type of file are you trying to force a copy of?

      Like I mentioned above, unfortunately it appears this trick only works for Docs.
