Clean up your Inbox with Archive Mail

Because Google provides so much mail storage, there is really no need to ever delete a message. Instead of deleting a message, archive it instead! Archiving your mail will move it out of your inbox, just like deleting a message would. You can also select multiple messages at a time (Read, Unread, All, etc) and archive in bulk.

Archived mail can easily be recovered with All Mail. All Mail includes all messages in your Gmail / Google Apps account, other than items in Spam or Trash. Check out this video to learn how to archive mail and then recover it.

    • Hey Judy!

      To get All Mail to show up under your inbox, click on the settings gear in the top-right corner of Gmail. Then click on settings.

      After that, click on the Labels tab, scroll down until you see All Mail, and set it to ‘show’, rather than ‘hide’.

      It should show up right away, but don’t forget to save your changes!

  2. Thank you, Gooru, for this tip. I will use it! It was well-explained.

    I have a Gmail extension that creates folders for labels, so when I label something, it goes into a folder on the left. I’d like to mass move inbox messages into folders. I can’t find a way to do this. I can’t even find a way to mass move messages to a label.

    For example, in your above example, let’s say that you had to do something manual to each “new user”, so you liked to collect those e-mails in a folder – BUT you wanted to do it manually (e.g., not set up an automated rule to put them there) because you wanted to inspect them. This is common in my work, as I do a lot of database testing.

    What I want to do in Gmail is search for “new user” in my inbox, then check off the e-mails I want to file and move them to that label and out of Inbox. There is where I can choose to delete or archive others.

    My problem is moving them out of Inbox from the results of the search query – and this is after labeling them as I want. What is the easiest way to search for messages in an inbox (e.g., all from a certain person, or all with a certain word in the subject line), then check off the ones to label, and then label and unlabel as Inbox? How do I get them out of Inbox?

    • I’m a little confused by your question, but I’ll try to answer it as best I can.

      As far as searching for messages in an inbox (e.g., all from a certain person, or all with a certain word in the subject line), you can use the Gmail search operators like from: and has: for example. You can learn more about search operators with this video.

      Then I would select all of the messages and assign them the appropriate label. You can assign labels to multiple messages by selecting them and applying a label from the labels drop-down at the top of your inbox.

      Then, while the messages are still selected, I would select the Archive button at the top of your inbox to remove the messages. They will no longer be found in your inbox, but will still be visible in your when you select the appropriate label.

  3. Hi,

    I want to archive all 2000 emails in my gmail inbox in one go. How do I do this? If I use the method in the video I only archive those messages on the front page.

      Select the All Mail label from the label list on the left-hand side of your screen.

      Then select all of your messages with the method described in the video. You should then see a message like this at the top of your screen:

      “All 50 conversations on this page are selected. Select all 9262 conversations in All Mail”

      Click the link to select all messages, then apply the Archive label.
